Terms of Service

1. Acceptance of Terms

By accessing or using the BookingBot platform at www.bookingbot.co ("Service"), operated by Receptionist.ge, you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service. These Terms apply to all business customers ("Tenants") and their authorised users.

2. Description of Service

BookingBot provides an AI-powered booking assistant designed for beauty businesses and service professionals. The Service connects to your Instagram Business account and WhatsApp, receives customer messages on your behalf, generates AI-assisted replies tailored to your services, and helps manage bookings and customer communications.

The Service is purpose-built for business customer service, not a general-purpose chatbot. AI replies are generated based on each business's specific information, services, staff, and policies.

3. Account Registration

  • You must provide accurate and complete information when registering.
  • You are responsible for maintaining the security of your account credentials.
  • You must promptly notify us of any unauthorised access to your account.
  • Each business tenant account must correspond to a real, operating business.

4. Tenant Obligations

As a business using our Service, you agree to:

  • Comply with all applicable Meta Platform Terms, Meta Developer Policies, Instagram Platform Terms, and WhatsApp Business Solution Terms.
  • Only connect Instagram Business or Creator accounts that you own or are authorised to manage.
  • Obtain proper consent from your customers before sending them messages through our platform.
  • Not share customer conversation data from one customer with another.
  • Keep your Instagram Business account and/or WhatsApp Business account in good standing with Meta.
  • Provide accurate business information (services, hours, staff, policies) to ensure AI replies are truthful and helpful.
  • Not use the Service to send spam, unsolicited marketing, or harassing messages.

5. Prohibited Uses

You must not use the Service to:

  • Send spam, phishing, or fraudulent messages
  • Collect payment card numbers, government IDs, or sensitive financial data via messaging
  • Violate any applicable laws or regulations
  • Impersonate another business or person
  • Transmit malware, viruses, or harmful content
  • Circumvent any security measures or access controls
  • Use the Service in a manner that could damage, disable, or impair the platform

6. AI-Generated Replies

AI-generated replies are produced by third-party language models (OpenAI, Google Gemini) based on information you provide. While we strive for accuracy:

  • AI replies may occasionally contain inaccuracies. You are responsible for reviewing and correcting AI-generated content.
  • You may pause AI auto-replies at any time through the platform.
  • We are not liable for any damages arising from AI-generated replies sent on your behalf.
  • The quality of replies depends on the accuracy and completeness of the business information you provide.

7. Data & Privacy

Your use of the Service is also governed by our Privacy Policy. By using the Service, you acknowledge that customer messages will be processed by AI providers and stored in our database as described in the Privacy Policy.

You are the data controller for your customers' personal data. We act as a data processor on your behalf. You are responsible for ensuring you have a lawful basis for processing your customers' data.

8. Service Availability

We strive to maintain high uptime, but do not guarantee uninterrupted service. The Service depends on third-party providers (Meta, OpenAI, Google, Convex) and may be affected by their availability. We are not liable for downtime caused by third-party service interruptions.

9. Fees & Payment

Service fees are agreed upon during onboarding. Payment terms, amounts, and billing frequency will be communicated to each tenant individually. We reserve the right to suspend service for overdue accounts after reasonable notice.

10. Termination

Either party may terminate the agreement at any time with 30 days written notice. We may immediately suspend or terminate your access if you violate these Terms or if Meta suspends your Instagram Business or WhatsApp Business account. Upon termination:

  • AI auto-replies will be disabled immediately.
  • You may request export of your data within 30 days of termination.
  • Your data will be deleted within 90 days of termination, unless retention is required by law.

11. Limitation of Liability

To the maximum extent permitted by law, BookingBot (Receptionist.ge) shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service. Our total liability shall not exceed the fees paid by you in the 12 months preceding the claim.

12. Indemnification

You agree to indemnify and hold BookingBot (Receptionist.ge) harmless from any claims, damages, losses, or expenses arising from your breach of these Terms, your violation of applicable laws, or your failure to obtain proper consent from your customers.

13. Governing Law

These Terms are governed by the laws of Georgia. Any disputes shall be resolved in the courts of Tbilisi, Georgia.

14. Changes to Terms

We may update these Terms from time to time. Material changes will be communicated to registered tenants via email at least 14 days before they take effect. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
